This Privacy Policy describes how CBSolutions, Inc. d/b/a Prix Fixe Accounting (“Prix Fixe Accounting,” “we,” “us,” or “our”), collects, uses, and shares information in connection with the website located at prixfixe.accountants and related subdomains (the “Site”), and in connection with our related marketing emails and text messages. It supplements our Website Terms of Use.

This Privacy Policy does not apply to information we collect and hold about clients in the course of providing accounting, bookkeeping, payroll, and related services under a signed engagement letter. That information is governed by the confidentiality, data-security, and record-retention terms of the applicable engagement letter, not by this Privacy Policy.

1. Information We Collect

Information You Provide to Us

We collect information you choose to give us, including:

  • Contact form: when you submit the contact form on the Site, we collect your first and last name, email address, phone number, business name, type of business, and the message you provide, along with whether you opted in to receive news and updates.

  • Webinar and newsletter sign-ups: when you register for a webinar or subscribe for updates, we collect your name and email address through our email marketing provider, Mailchimp.

  • Text messaging (SMS) program: available to our active clients only, by signed consent form — there is no signup through the Site. We collect the business name, the name of the person consenting, the mobile phone number to be texted, and an email address, as described further in Section 6 below. 

  • Direct correspondence: information you provide when you email or call us, or otherwise communicate with us directly.

Information We Collect Automatically

When you visit the Site, we and our service providers automatically collect certain information about your device and your visit using cookies, pixels, and similar tracking technologies, including your IP address, browser and device type, pages viewed, referring and exit pages, approximate geographic location, and interactions with our ads. We use the following third-party tools for this purpose:

  • Google Analytics and Google Ads (Google LLC) — to understand how visitors use the Site and to measure and manage advertising, including remarketing ads shown to prior visitors on other websites;

  • Meta Pixel (Meta Platforms, Inc.) — to measure the performance of, and help deliver, our Facebook and Instagram advertising;

  • Squarespace — our website hosting and forms platform, which sets its own cookies necessary to operate the Site;

  • Mailchimp — our email marketing platform, which may use tracking technologies to measure email opens and engagement.

Each of these providers processes data under its own privacy policy, which we encourage you to review. Section 3 below describes your choices with respect to these technologies.

2. How We Use Information

We use the information we collect to:

  • respond to your inquiries, schedule calls, and provide the materials you request;

  • send newsletters, webinar invitations, and other marketing communications, where you have opted in or as otherwise permitted by law;

  • operate, maintain, and improve the Site;

  • measure the performance of our advertising and show you or others relevant ads based on Site activity (remarketing);

  • comply with applicable law and protect the rights, property, and safety of Prix Fixe Accounting and others.

3. Cookies and Advertising Choices

The Site does not currently display a cookie-consent banner. You can control cookies through your browser settings, including blocking or deleting cookies, though doing so may affect how the Site functions. You also have the following choices with respect to the advertising technologies described above:

  • Google: adssettings.google.com (ad personalization) and tools.google.com/dlpage/gaoptout (Google Analytics browser opt-out add-on);

  • Meta: facebook.com/adpreferences/ad_settings;

  • Digital Advertising Alliance: optout.aboutads.info, for a broader set of participating advertising companies.

4. How We Share Information

We do not sell personal information for money. We share information with:

  • Service providers who process information on our behalf to operate the Site and our marketing, currently Squarespace (hosting and forms), Mailchimp (email), Google (analytics and advertising), and Meta (advertising);

  • Professional advisors (such as our accountants or attorneys), where necessary;

  • Government authorities or other third parties, where required by law, subpoena, or other legal process, or to protect the rights, property, or safety of Prix Fixe Accounting, our clients, or others; and

  • A successor entity, in the event of a merger, acquisition, or sale of assets.

Some state privacy laws define “sale” or “sharing” of personal information broadly enough to include the use of advertising cookies like the Google and Meta tools described in Section 1, even where no money changes hands. Section 3 above describes how to opt out of those technologies.

5. Your Choices and Rights

You may:

  • unsubscribe from marketing emails using the unsubscribe link in any email;

  • opt out of text messages at any time as described in Section 6;

  • ask us to tell you what personal information we hold about you, correct it, or delete it, by contacting us using the information in Section 11; and

  • opt out of the advertising technologies described in Section 3.

We will not discriminate against you for exercising any of these choices. We will respond to legitimate requests within a reasonable time and may need to verify your identity before doing so.

6. Text Messaging (SMS) Program

Our SMS program is described in full at prixfixe.accountants/smsprivacyterms. In summary:

  • Who and how: the program is available to active clients only, by signed SMS Communication Consent presented at engagement signing. There is no web signup, and consent is not a condition of any purchase or service.

  • Data collected: the business name, the name of the person consenting, the mobile phone number to be texted, and an email address, taken from the signed form.

  • Use: solely for customer-care messaging between our accountants and our clients. We do not send marketing texts.

  • Sharing: no mobile opt-in information is shared with, sold to, or rented to third parties, and no mobile information is shared with third parties or affiliates for marketing or promotional purposes.

  • Rates and frequency: message and data rates may apply, and message frequency varies.

  • Opt-out: reply STOP to any text and messaging to that number stops immediately; you will receive a final confirmation message. You may also opt out by emailing admin@prixfixe.accountants or calling 413-458-8297. Reply HELP for assistance.

  • Retention: we retain your number and consent record while you remain opted in; the consent record is thereafter retained as part of the client file under the applicable engagement letter.

7. Children's Privacy

The Site is intended for business owners and professionals and is not directed to children. We do not knowingly collect personal information from children under 13, and if we learn that we have done so, we will delete it.

8. Data Retention

We retain the information described in Section 1 for as long as reasonably necessary for the purposes described in this Policy — for example, contact-form and newsletter information for as long as you remain subscribed or as needed to respond to your inquiry, and SMS information for as long as you remain subscribed to that program — unless a longer period is required by law or you ask us to delete it sooner. This Section does not affect the separate retention of client engagement records described in a client's engagement letter.

9. Data Security

We maintain commercially reasonable administrative and technical safeguards designed to protect the information we collect through the Site. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please do not send sensitive information (such as financial account numbers, login credentials, or Social Security numbers) through the Site's contact form or other unencrypted channels.

10. Third-Party Links and Content

The Site links to and embeds content from third-party platforms, including Instagram, YouTube, and Facebook, and links to our careers page hosted separately at jobs.prixfixe.accountants. Those platforms collect information directly from you under their own privacy policies, which we encourage you to review; we are not responsible for their practices.

12. Changes to This Policy

We may update this Privacy Policy from time to time by posting a revised version on the Site with a new Effective Date. If we make material changes, we will provide additional notice as appropriate under the circumstances. Your continued use of the Site after a revised version is posted constitutes your acceptance of the changes.
